  • Service Database: Anonymized data is stored Indefinitely, unless otherwise requested for deletion.

Security Measures

We take appropriate security measures to prevent unauthorised access, disclosure, modification, or unauthorised destruction of the Data. Including but not limited to implement security measures such as, data encryption, access controls, regular security assessments and data integrity checks.

Anonymity

Users are assigned randomly generated strings for anonymity. Users are not identifiable beyond this marker.

Personally Identifiable Information

Personally Identifiable Information (PII) is identified using an automated process and then redacted before being saved to the AI Chatbot database.

Data Sharing

Third Parties

We do not share data collected by the chatbot with third parties.

Sub-Processors

Our AI Chatbot uses Microsoft Azure OpenAI as a sub-processor. Data is securely transmitted and stored for up to 30 days for abuse checks before being automatic deletion. More information about Microsoft Azure OpenAI’s Privacy Policy can be found here.

Supplier

Revium as is our supplier of the AI Chatbot. They process any personal data about you on our behalf and in accordance with a data processor agreement entered into with us.

User Consent

By interacting with our AI Chatbot, you consent to the collection and use of your data as described in this AI Privacy and Confidentiality Policy.

User Rights

Data Access, Rectification, and Deletion

Users have the right to request access to, rectification of, or deletion of their personal data. To exercise these rights, please provide a formal request via email, including the randomly generated user ID you were assigned when utilising the AI Chatbot service. We will process such requests in accordance with our standard procedures.

Retention Period

  • Microsoft Azure OpenAI: Data is securely transmitted and stored on Microsoft Azure’s OpenAI service for up to 30-days

  • Service Database: Anonymized data is stored Indefinitely, unless otherwise requested for deletion. 

Secure Deletion

When data is no longer needed for the specified purposes, it is securely deleted or anonymized.

Changes to This AI Privacy and Confidentiality Policy

Our company may change or update this Policy at any time and create a notification on our AI Chatbot advising of significant changes. The latest version of this Policy will be available on our website and was last updated on XX May 2024.
